Privacy Policy

This page explains what Greenlight Publish does with your manuscript and your personal data, who else sees it, and how long we keep it. Andy Cole is the controller of that data.

1.The short version

  • Your file never leaves your browser. DOCX, PDF, EPUB and plain-text files are parsed on your own device; only the extracted text is sent for scoring.
  • We do not store your manuscript. The text is processed to produce the report and then dropped. What is kept is the report itself, a word count, a similarity fingerprint, and short quoted excerpts used as evidence (up to about 300 characters each).
  • We hold very little about you personally — the email address tied to your license, and whatever you write to support.
  • We do not sell your data, do not run advertising trackers, and do not use your manuscript to train our own models.

2.What we collect

License and account data. The email address used at checkout, your license key, your plan, service-access entitlements, and the usage counters needed to enforce your allowance. This reaches us from WarriorPlus when a purchase completes.

Scan data. For each scan we store the book title you enter, the book type, the scores, the report (findings, recommendations and the short excerpts they refer to), the word count, a mathematical fingerprint of the text used to detect repetition and to verify that a later plagiarism check is run on the same manuscript, and the policy version in force. We do not store the manuscript text itself, so a plagiarism check run later asks you to provide the file again.

Support data. If you write to us: your email address, the license key you give us, your subject and message, and your IP address — the IP is kept only to rate-limit the form against spam and is not shown to anyone answering you.

Operational data. Server logs and counters for requests, errors, third-party API usage and cost, used to keep the Service running and to detect abuse.

We do not ask for and do not want payment card details — those go to WarriorPlus and never touch our servers.

3.Why we are allowed to use it

We process license, scan and support data to perform the contract you entered when you bought a license — you cannot get a report without us processing your text. We process operational data and the support IP address on the basis of our legitimate interest in keeping the Service secure, available and affordable to run. Where we need consent for anything beyond that, we will ask for it separately.

4.Who else sees your data

To produce a report, parts of your text are sent to specialist providers. Each receives only what its check needs, and none of them receives your email address or license key:

  • Google (Gemini API) — short excerpts and sampled passages, for the AI-disclosure and originality analysis.
  • A web-search provider — short phrases from your text, to see whether they already appear online.
  • Originality.ai — the manuscript text you submit for a plagiarism check. This runs only when you explicitly request that check, never during an ordinary readiness scan.
  • OpenAI (ChatGPT) — optional Custom GPT upgrades open in ChatGPT, outside this Service. Files and messages you provide there are handled under your ChatGPT account and OpenAI's terms and data controls; we do not receive or store those GPT conversations.
  • A trademark-data provider (USPTO records) — candidate brand-like terms from your title, series and text, not the text itself.
  • WarriorPlus — handles the purchase and sends us the email address, item and transaction reference needed to issue your license.
  • Our hosting and database providers — they store the data described above on our behalf, under their own security commitments.

These providers run outside your country, including in the United States, so your data may be transferred internationally. We rely on the transfer safeguards in each provider’s terms. We may also disclose data where the law requires it, or to protect the Service and its users against abuse.

5.How long we keep it

Manuscript text: not retained. It exists only in memory for the duration of the scan.

Reports and scan history: kept while your license is active, so you can reopen them. Delete a scan and its report goes with it.

License and purchase records: kept while the license exists and after that for as long as we need them for accounting, tax and dispute records.

Support messages: kept until the ticket is resolved and for a reasonable period afterwards, so we have the history if you write again.

Logs and usage counters: kept short-term for operations and abuse detection, in aggregate form where possible.

6.Your rights

Depending on where you live, you may have the right to access your data, correct it, delete it, restrict or object to its processing, receive a copy in a portable form, and complain to your data-protection authority. To exercise any of these, write to us via the support page from the email address on your license. We answer by email, usually within one business day and in any case within the period the law allows.

Deleting your license data ends your access to the Service, including your scan history — we cannot restore it afterwards.

7.Cookies and analytics

We use only what the Service needs to work: your license key and language preference are stored in your browser so you stay signed in and keep your chosen language. We do not use advertising cookies and do not sell or share data for cross-site advertising. Pages you reach from an ad or an affiliate link may carry tracking parameters set by that platform, and the checkout is operated by WarriorPlus under its own privacy policy.

8.Children

The Service is for adults publishing their own work and is not directed at children. We do not knowingly collect data from anyone under 16. If you believe a child has used the Service, contact us and we will delete the data.

9.Security, changes and contact

Data is transmitted over encrypted connections and stored with access limited to the people who need it to operate the Service. No system is perfect; if a breach affects your data we will notify you and the relevant authority as the law requires.

We may update this policy. The current version always lives at this address with its revision date at the top, and material changes will be announced in the app or by email. This policy is governed by the laws of Vietnam.
